Applying 5S to the office

The 5S methodology is an essential tool for any organization aiming for professionalism in management and operations. While this tool is widely popular and successfully applied in many enterprises in Japan and around the world, its correct understanding and application in organizational models in Vietnam have not achieved the expected success.

So, how can 5S be applied in the office? What are the steps? How can effectiveness be achieved?

Step 1: Seiri (Sort)

First, classify all items in the office: Keep necessary items, place frequently used items nearby for easy access, store occasionally used items further away, and box items that need to be stored. Discard unnecessary items.

Step 2: Seiton (Set in Order)

After sorting items, proceed to organize them. Before organizing, take photos for comparison. When organizing, note:

– The workspace has been cleared of unnecessary items.

– Discuss layout arrangements with colleagues.

– The organization should ensure aesthetics, tidiness, safety, and convenience in accessing items.

For example: Small items like pens, rulers, and staplers should be placed in small boxes to avoid cluttering the desk.

Frequently used items should be placed near the user to save time.

After organizing, inform colleagues of item locations or provide a layout diagram. It’s best to create a list of items and their storage locations, labeling drawers, cabinets, and folders so everyone knows where items are stored.

This step will save time when searching for items, making retrieval and return more convenient, thus streamlining the workflow.

“Easy to find, easy to see, easy to take, easy to return” best summarizes this step.

Step 3: Seiso (Shine)

Regularly and continuously clean the workspace, including machines, tools, and furniture, to prevent dirt buildup. Don’t wait until things get dirty to clean.

Spend 5 minutes daily cleaning the office.

Every team member should be responsible and aware of the work environment.

Maintaining cleanliness should be ongoing, monitored, and seen as a contribution and pride for the organization.

Step 4: Seiketsu (Standardize)

To avoid wasting previous efforts, don’t stop after completing the first 3S but continue with Seiketsu (Standardize) to enhance effectiveness. In this step, we can:

– Create a system to maintain cleanliness and order, such as scheduling cleaning or assigning individual tasks, organizing comprehensive office cleaning.

– Establish competitions between departments to engage everyone in 5S implementation.

– Form a team to regularly inspect and evaluate 5S implementation by members and units.

– Not only identify shortcomings for criticism but also find strengths to praise and encourage.

Step 5: Shitsuke (Sustain)

Achieving the fifth S is challenging, as the organization needs to train and enforce rules to instill the habit of compliance among all employees.

Since this is a new process, it should be visually communicated rather than just verbally, ensuring all relevant parties participate in developing standard documents.

Ensure everyone understands and consistently follows the process, as without training and discipline, the other steps of 5S cannot succeed.
